A surveillance system is ready for handover when its required results have been demonstrated and documented. A brand name, favorable review or clear live picture cannot replace an acceptance record. Start with the approved camera schedule and test the actual configuration.
Test useful detail
Place an authorized test subject at the nearest and farthest required locations. Include representative movement, backlighting and night conditions. Check recorded playback and an exported sample rather than only a live preview. Document limitations such as occlusion, reflective plates, blurred motion or insufficient context. Do not record a pass based on a stationary daytime image if the task concerns moving subjects at night.
Verify recording and retrieval
Confirm the recording stream, schedule, event buffers, timestamps and storage health. Locate a specified event across several views and export it with the required context. Play it on another authorized workstation and record any special player requirements. Verify actual retained history after the system has run for the specified period; a calculated capacity is only an estimate.
Test permissions and resilience
Use ordinary operator accounts as well as administrators. Confirm restricted cameras, export controls, account removal and audit visibility. Under an authorized test plan, verify internet loss, device disconnection and restoration. Record whether footage continues locally, whether health alerts arrive, and whether missing video is recovered. Protect live operations and relevant evidence during testing.
Keep an exception register
| Field | Required record |
|---|---|
| Requirement | Scene, purpose and expected result |
| Test configuration | Device, firmware, stream, lighting and network conditions |
| Observed result | Pass/fail, sample export and limitations |
| Exception | Responsible person, remedy and retest date |
Preserve an incident responsibly
Follow the organization’s retention and hold policy. Preserve source material, document export time and operator, record known clock offsets, and control subsequent access and disclosure. Avoid altering the only copy. If redaction or transcoding is needed, retain the original and document the derivative workflow. Technical exports alone do not determine legal admissibility.
Use the acceptance worksheets and manufacturer demonstration script for consistent evidence across competing systems.
